Actually, it was settled by our dean and dept. chairs. It was determined that our hands are tied if we determine communication needs of our own students because we cannot treat them AND evaluate them. Students should meet with staff in the Office of Student Disabilities to receive accommodations, if needed. So the students MUST self-identify. The worst case scenario is having to grade/evaluate a student the faculty has determined has a disability, but the student has not addressed the need for accommodations with OSD. We cannot casually make accommodations without the required documentation initiated by the students. If we casually address disabilities, it can be viewed as drawing attention to the student?s disability which may affect evaluation/grading, especially if there are problems. We did determine Audiology can address Speech students? hearing needs and Speech can address Audiology students? speech needs. We are a no bill clinic so price was ultimately the primary deciding factor. We decided to go with WebPT because it seemed to meet our documentation and paperless needs. This company indicated they have SLP and OT clients and all forms are customizable, etc, so we tried it out. We tried the Educational Version, which was quite reasonable in price, but it did not live up to what it was purported to be. While there was real-time online support, it was extremely limited with the educational version and I would speak to a different person each time, often getting conflicting information on how to create individualized templates for SLP. So frustrating! We are now having a secure database created specifically for our program and clinic needs by a faculty in the College of Business. Also one student is working on this project as an independent study. Should be finished sometime fall semester and we can trial it, making adjustments as needed. We store all records in a program called ImageNow, which allows for modifiable file storage. It is a program our university uses for Records and Registration/Financial Aid, etc. Our computer services department allowed us access to the program to back up and update clinic records. We upload new documents at the end of every semester. I would suggest asking around the university to see what other departments are using. We have tried and/or looked at many different programs and they either didn't meet our needs or the cost was prohibitive. I contacted our Mathematics/computer Science department and they had a graduate student in Informatics that needed a graduate project. She did a phenomenal job listening and putting together exactly what we needed. We will be working on the implementation of it this fall. It's not a quick process, by any means, but the only cost is time, and it got the computer science faculty and student excited to have a "real life project." It works well for us on the clinic side. However, our office manager is not as happy with how it tracks information for billing purposes. (She's able to "make it work" - but would have set it up differently if she had been here when we initiated it.) If you bill, you'll want to include your office manager in your selection. We don't love it. It was built around a medical model rather than an educational model so we end up having to retro fit most of the features. At our State Convention in April of this year I attended a demo for a new software program developed by a business in North Carolina called Applied Clinical Excellence (ACE). It looked like it would fit our needs better than CureMD but we had just committed to CureMD so our administration was interested in exploring ACE. It was a lengthy and expensive process but we have found it to be an excellent addition to our university clinic for many reasons. 1) It allows our students an opportunity to learn an EH system that they will use in other medical settings in the ?real world.? 2) It allows our faculty and students to have access the our clients? medical record which provides an excellent example of interprofessional collaboration. 3) It allows other providers in the system to see our records! 4) It allows for an online way for our faculty providers to communicate with physicians and other providers to refer clients to us. This has really increased our referral base! 5) It provides monthly financial reports and stats for each provider. We met with academic affairs and discussed accreditation and the need to ensure we are training students at the top of their profession and they are paying for 2/3 and we are paying for 1/3 of the cost.
