Due to the amended winter break, the payroll schedules for pay period 'L' (ending 12/9/21) and pay period 'M' (ending 12/23/21) must be accelerated. Employees and supervisors should enter and approve time by the deadlines outlined below. Departments should ensure a representative is available during processing to review payroll reports and address any errors identified. Since the University will be closed for two weeks, departments must ensure their department payrolls are accurate, and employees are paid timely. No off-cycle paychecks will be available for pay period 'L.' Any off-cycle requests for 'M' will not be processed until January 3, 2022, for direct deposit into employees' accounts on Tuesday, January 4. Payroll Schedule 'L' Overview (Paycheck Date 12/17/21): Tuesday, 12/7/21 - Time Entry Deadline Wednesday, 12/8/21 - Approvals Deadline and First Cost Center Report in myFSU BI Thursday, 12/9/21 - Second Cost Center Report and 10:30 a.m. Case Deadline Friday, 12/10/21 - Final Cost Center Report Alternate Payroll 'L' Schedule * Annual Compensatory Leave Payouts will appear on the Second Cost Center Payroll Schedule 'M' Overview (Paycheck Date 12/30/21): Monday, 12/13/21 - Time Entry Deadline Tuesday, 12/14/21 - Approvals Deadline and First Cost Center Report in myFSU BI Wednesday, 12/15/21 - Second Cost Center Report and 10:30 a.m. Case Deadline Thursday, 12/16/21 - Final Cost Center Report Alternate Payroll 'M' Schedule During the two-week winter break holiday, there will be limited monitoring of myFSU Service Center cases. The President's Winter Break holidays are considered benefits to current employees of the University. Therefore, employees receiving the benefits will be required to return to work following the conclusion of the break. For employees represented by a union, the University will seek to reach an agreement with the unions to provide the additional holidays. If successful, an updated communication will be provided after we have reached an agreement with the unions. OPS employees required to work during these periods must have supervision and will only be paid for time worked. Therefore, they will not accrue compensatory time. Questions? General questions regarding the break or Attendance & Leave concerns should be directed to Christine Conley at caconley at fsu.edu. Questions regarding the break for union-represented USPS employees should be directed to Tracey Pearson at tvpearson at fsu.edu. Questions regarding the break for union-represented Faculty employees should be directed to Rebecca Peterson at rpeterson at fsu.edu. -------------- next part -------------- An HTML attachment was scrubbed... Below is a list of pending approvals in OMNI. Although the deadline for approvals is noon today (EST), we are providing advance notice of those still pending at approximately 11:30 a.m. so that they might be done by noon and your first Cost Center Report will be more accurate. Remember that unapproved time and leave entries will not appear on the Cost Center Report. Please note, the number in the "Pending Approvals" column reflects the number of entries that need approval, not separate employees. The data is intentionally conveyed in this manner, so you know how many time entry approvals require your attention. For example, if an employee reported 3 days of vacation, that employee's unapproved time will be counted 3 times so that you know how many entries you should be approving. This is especially helpful if the leave was taken over multiple workweeks. As you are aware, if each entry for an individual employee is not approved or corrected, the employee's pay will be affected. If you have any questions, please contact an Attendance & Leave representative. Thank you for your timely attention to this matter. Department Representatives and Supervisors: Please read the following message in its entirety. The Christmas and Winter Break holidays occur over two pay periods and three pay weeks. The week of December 17 - 23 occurs in Pay Period 'M', which is an accelerated payroll. Please refer to the payroll processing schedule for Pay Period 'M'. The week of December 24 - 30 and December 31 - January 6 occurs in Pay Period 'N', which is a normal payroll processing schedule. To be paid for the holiday, USPS, A&P, Executive Service (AEX), and Faculty employees should be in pay status (either working or on approved leave) at least a portion of the scheduled workday before the holiday. * Full-time employees receive 8 hours of leave for holidays. Part-time employees receive a proportionate number of leave hours for holidays based on their FTE. * Example - While a 1.0 FTE employee gets 8 hours of paid holiday leave for each day, a 0.75 FTE employee would get 6 hours of paid holiday leave. * If you have employees on alternate schedules (full-time or part-time), they should be advised in advance to work the appropriate hours for the workweek of December 17 - 23 and December 31 - January 6 based on the amount of holiday pay they will receive. Reporting Winter Break and Christmas Holidays: Elapsed Timesheet 1. DO NOT ENTER TIME FOR THE HOLIDAY for A&P, AEX, USPS, or Faculty employees using the elapsed timesheet. 2. The OMNI HR elapsed timesheet will show no hours (blanks) for December 20 - December 31. See the examples below: [cid:image002.png at 01D7EDC4.91D2E750] [cid:image003.png at 01D7EDC4.91D2E750] Punch Timesheet * Nonexempt USPS employees using the USPS punch timesheet (only) must enter their holiday hours for December 20 - 31 (excluding the weekends). See the examples below: [cid:image004.png at 01D7EDC4.91D2E750] [cid:image005.png at 01D7EDC4.91D2E750] OPS Employees OPS employees are not eligible to receive holiday pay. * OPS Nonexempt Employees (paid for time worked) do not receive holiday pay. Only the hours worked should be reported on the timesheet. * OPS Exempt Employees (Grad Assistants/Adjuncts/OPS Faculty) do not report time on their timesheets. If the employee is funded during the holiday, the system will generate pay based on their appointment. Compensatory Leave Full-time employees scheduled to work over the Winter Break may be eligible for "Winter Holiday Comp Earned - WTRCE" or "Straight Time Comp Earned - REGCE" per the below guidelines: A&P Exempt Workweek 12/17/21-12/23/21 * Use "Winter Holiday Comp Earned - WTRCE" if the employee works on December 20, 21, 22, and/or 23, and works more than 8 hours during the first holiday week (Daily maximum of 8 hours WTRCE allowed). Workweek 12/24/21-12/30/21 * Use "Straight-time Comp Earned - REGCE" if the employee works on December 24 (8 hours maximum REGCE allowed). * Use "Winter Holiday Comp Earned - WTRCE" if the employee works on December 27, 28, 29, and/or 30 (Daily maximum of 8 hours WTRCE allowed). Workweek 12/31/21-1/6/21 * Use "Straight-time Comp Earned - REGCE" if the employee works on December 31, and works more than 32 hours during the holiday week (8 hours maximum REGCE allowed). USPS Nonexempt Workweek 12/17/21-12/23/21 * Use "Straight-time Comp Earned - REGCE" if the employee works more than the required 8 hours during the first holiday week and the work is performed on the weekend, and/or works more than 8 hours on a Winter Break Day. * Use "Winter Holiday Comp Earned - WTRCE" if the employee works on December 20, 21, 22, and/or 23, and works more than 8 hours during the first holiday week (Daily maximum of 8 hours WTRCE allowed). Workweek 12/24/21-12/30/21 * Use "Straight-time Comp Earned - REGCE" if the employee works on the weekend, December 24, and/or works more than 8 hours on a Winter Break Day. * Use "Winter Holiday Comp Earned - WTRCE" if the employee works on December 27, 28, 29, and/or 30 (Daily maximum of 8 hours WTRCE allowed). Workweek 12/31/21-1/6/21 * Use "Straight-time Comp Earned - REGCE" if the employee works more than the required 32 hours during the holiday workweek (8 hours maximum REGCE allowed). If a USPS Nonexempt employee physically works more than 40 hours during one of the holiday workweeks, do one of the following: * To generate Overtime Comp Leave Earned - enter OTCCE for hours over 40. * To generate Overtime Pay - enter either OVHHP or REGHP for hours over 40. If a USPS Exempt employee physically works more than 40 hours during one of the holiday workweeks, do one of the following: * To generate Straight-time Comp Leave Earned - enter REGCE for hours over 40. * To generate Pay at the Straight-time Rate - enter REGHP for hours over 40. Other Types of Leave Employees on Workers' Compensation Since most of these employees receive Workers' Compensation payment for approximately 2/3 of their wages, their holiday pay should be proportional (approximately 1/3). Both the Workers' Compensation and the holiday amounts need to be reported on the timesheet.
