From HR-FSUimportantmessage at fsu.edu Fri Mar 1 09:00:09 2019 From: HR-FSUimportantmessage at fsu.edu (HR Important Message) Date: Fri, 1 Mar 2019 14:00:09 +0000 Subject: [HRMS] OPS Express - Hiring Process Improvements Message-ID: [Office-Human-Resources-V_for_email] An important message from FSU Office of Human Resources This message has been approved by Shelley Lopez, Program Director, Communications/Special Projects, for distribution to all Department Representatives. We are pleased to announce recent improvements to the OPS Express hiring process! What's Changing OPS express pools will transition to a system appointment process for hires effective May 13, 2019 and thereafter. This will streamline the hiring process for express pools and eliminate the online application for the following: * OPS Express Pool * Camp OPS Express Pool * InternFSU Express This change, modeled after the current process for hiring Graduate Assistants, will require the hiring department to create the applicant record, link it to the applicable express pool, and prepare the job offer in OMNI HR. Offers will automatically route through the electronic approval chain before coming to HR for final approval and initiation of the Smart Onboarding invitation. The OPS Express appointment process will be used if the department has identified a candidate for an OPS job. If there is a need to recruit for an OPS candidate or pool on the FSU jobs website, a department can still create their own OPS job opening to advertise and hire from. The summer express pools have been created and are now available in OMNI HR. The button formerly entitled "Create GA Appt/OPS Fac Appt" in Recruiting is now called "Add Express Appointment" to encompass all types of OPS Express hires. The roles needed for this process are: FSU_SS_MANAGER and FSU_GRAD_EX_PILOT. Learn More For step-by-step instructions and training: * Training Guide: Appointing via OPS Express * Training Session: Express Pool Hiring 101, March 8, 2019 at 8:30 a.m. To register, log into myFSU and navigate to: HR > Employee Self Service > Learning and Development > Request Training Enrollment. Follow the prompts to search and submit your request for course number BTREC2. Thank you for partnering with us as we continue to streamline and improve your recruiting experience! Questions? Below is a list of pending approvals in OMNI. Although the deadline for approvals is noon today (EST), we are providing advance notice of those that are still pending at approximately 11:30 a.m. so they might be done by noon and your first Cost Center Report will be more accurate. The data is intentionally conveyed in this manner so you are aware of how many time entry approvals require your attention. For example, if an employee reported 3 days of vacation, that employee's unapproved time will be counted 3 times so that you know how many entries you should be approving. This is especially helpful if the leave was taken over multiple work weeks. As you are aware, if each entry for an individual employee is not approved or corrected, the employee's pay will be affected. Effective March 22, 2019, photo matching documents will no longer need to be submitted to HR for Employee Data Management review. When applicable, Guardian will prompt users to upload photo matching documents as required per E-Verify guidelines. Employees have the right to present any acceptable document as long as the document(s) appear to be genuine and relate to the employee. A list of acceptable documents is provided on the I-9 Instructional Website. Photo matching is triggered automatically if an employee presents: * Permanent Resident Card (Form I-551) * Employment Authorization Document (Form I-766) * U.S. passport * U.S. passport card E-Verify requires an image of both the front and back to be retained for most documents. If a U.S. passport or passport card is used, an image of the passport ID page and the passport barcode page should be retained. If an employee presents an acceptable document requiring photo matching within E-Verify, Guardian will notify the user that a copy of the document must be uploaded to proceed, as shown in the example below. [cid:image008.jpg at 01D4DE32.1C6FB140] After signing Section 2, the user will then be prompted to upload a copy of the document before the I-9 form can be marked as "completed". [cid:image009.jpg at 01D4DE32.1C6FB140] The University representative completing Section 2 of the I-9 must confirm that legible copies of the required documents are uploaded to Guardian to comply with E-Verify guidelines. Documents used on the Form I-9 that are not required to be retained per E-Verify photo matching guidelines should not be uploaded or retained in Guardian. Questions? The noon deadline for approvals has passed and there are still unapproved time/leave entries that require approval or correction before payroll processing is completed this pay period. Please check the list below for pending approvals for your department. Remember that the unapproved entries below as well as any corrections you make to these entries today will not appear on today's Cost Center Report. Please note, the number in the "Pending Approvals" column reflects the number of entries that need approval, not separate employees. Be sure to continue checking today and again throughout Monday morning for pending approvals due to corrections and data changes that are processed. If you have any questions, please contact an Attendance & Leave representative http://hr.fsu.edu/?page=about_hr/contact/contact&group=section. Thank you for your timely attention to this matter. If the compensation rate is incorrect or an employee whose appointment documents met deadline is not on the Cost Center, report the problem immediately in a FSU Service Center case. The deadline for submitting FSU Service Center cases is 10:30 a.m. (EST) on Monday, March 25, 2019. Cases submitted after 10:30 a.m. on Monday will not be worked before the payroll calculation is completed and the employee may be paid incorrectly. Do not wait until Monday to begin checking Cost Center data. Federal/State Compliance Posters ? Action Required The Office of Equal Opportunity and Compliance will be conducting its annual compliance poster audit April 1 ? April 30, 2019. Please take this opportunity to review all compliance poster locations to make sure they are up-to-date. The posters should be located in a conspicuous location that is accessible to all employees. An ideal location would be the building?s lobby or a central corridor. Multiple posting locations within a building are only needed if the site is not accessible to all employees within the building. Please coordinate with the other Department Representatives in your building to determine where each department has its compliance posters or to decide if a central location will be shared. Up-to-date compliance posters can be found on the Human Resources website. Click on ?Compliance Postings? to select posters and print. Additionally, the University has released an updated Equal Opportunity and Non-Discrimination Statement (EO Statement) and a new EEO & Affirmative Action Provisions Notice (Provisions Notice). We ask that you replace the old EO Statement with the updated version and post the new Provisions Notice, as it is now a newly required compliance posting. All websites and publications that reference the protected groups must be updated to ensure that proper and inclusive language is being replicated. Questions?
