Job Description
Responsibilities
The Senior Academic Program Specialist will manage the early alert referral processing that includes coordinating with PRE Program staff, receiving referrals, implementing student outreach, serving students, documenting case files, evaluating data to identify outcomes, and communicating with leadership and/or program partners.
Coordinates with the PRE Program Director, PRE student staff, and ACE staff to provide support to students enrolled in the courses of our faculty/staff partners and students referred by other campus partners. Responsible for managing and leading the early alert referral processing and outreach which includes writing, calling, and meeting with students to address identified issues with compassion, listen to concerns attentively, advise them explicitly about recommended strategies and techniques, and communicate information about additional campus resources and services relevant to their situation(s). Maintains appropriate communication with student support partners throughout the University.
Assists with program data collection and analysis to provide weekly, semesterly, and annual updates to the PRE Program Director and course outcomes for faculty partners. Communicates about observed program data trends and recommends process, policy, or programming changes. Supports the Director’s research and implementation of early alert programming best practices, and special projects/assignments.
Uses extensive knowledge of PRE Program processes to prioritize, organize, monitor, and perform multiple PRE Program responsibilities and tasks including mastering technical processes and relevant technologies to process student referrals and outreach procedures quickly, efficiently, and accurately. Learns and communicates relevant technological and/or procedural updates to improve the PRE Program processes and outcomes. Supports the training of PRE Program staff (e.g., ACE tutor training sessions, process referrals, phone/written outreach, appointment summary notes, MS Excel spreadsheets).
Facilitates ACE workshops and provides requested presentations each semester, and teaches a section of an academic success course when needed. Supports staff supervision and/or office coverage at the ACE Learning Studio when there is an urgent need.
Qualifications
Bachelors degree and four years experience.
Preferred Qualifications
* Bachelor's or Master's degree from a counseling, psychology, mental health, social work, or education discipline from an appropriately accredited program, college, or university.
* Two years of experience implementing an campus-based intervention program to a diverse undergraduate student population, initiating and tracking various forms of outreach to students, and providing personal academic support.
* Prior experience implementing an early alert program, initiating and tracking various forms of outreach, and providing academic support services to diverse undergraduate student populations.
* Use excellent written, oral, and interpersonal communication skills.
* Competent with mathematical calculations and descriptive statistics.
* Equally conscientious and productive with self-directed responsibilities and team-oriented projects.
* Proficient with prioritizing, organizing, monitoring, and performing multiple responsibilities and tasks.
* Proficient with using and learning PC computer-based technology such as Microsoft Excel, Word, PowerPoint, Teams, and Zoom software, and file storage on various drives.
* Prior experience using developmental, scaffolded, or active learning strategies to teach at the college-level, develop curriculum, and facilitate workshops.
* Prior knowledge of college student development theory, self-regulated learning, undergraduate student issues and challenges, and best practices in academic interventions for retention.
* Fluent in Spanish (comprehension and speech).
