I just wanted to reach out in regards to our Prospective MFA Visit [PMV] event this week. This event will span over a three day period, we start off our PMV event on the evening of March 5th with our visiting artist lecture, Frances Gallardo. The informational sessions and tours are scheduled the next day, from 9am-3pm on Friday, March 6th. We will be hosting lunch (12:00pm) at CAB as usual on that day, where you all are invited and strongly encouraged to attend this social gathering with the faculty and prospectives. There will also be a happy hour gathering at PROOF Brewery at 4:30pm followed by a First Friday Art Walk/Crawl in Railroad Square. The following morning (March 7th), we will be taking a boat tour of Wakulla Springs, home of the world?s largest and deepest freshwater springs. Please know that this Wakulla trip is not a paid excursion for all current grads - only current grads who have volunteered to host the prospectives will be paid for. With all that being said, this year we have 9 prospectives coming - along with a few partners, friends, and/or family members. Our highest priority remains the health and safety of our students, faculty and staff. Therefore, we will shift to online instruction for all courses on March 23 for a period of at least two weeks. FSU has a robust emergency plan in place and is fully prepared to provide instruction online or by other methods. We are taking this action proactively to protect not only our campus community but the larger community as well. Important Dates: March 14 at Noon ? Residence halls will close to visitors and for those residents who depart for spring break. Residents who stay may remain in the halls. March 23 ? April 5 ? Classes will be held via remote instruction. April 4 at Noon ? Residence halls are anticipated to reopen to visitors and those residents who traveled for spring break. April 6 ? Face-to-face classes are anticipated to resume. Campus Operations: Beginning at the end of the academic day on Friday, March 20, and through at least April 4, Florida State University will move from face-to-face instruction to online instruction and other alternative methods. * During the two-week period of online instruction following spring break, the university will remain generally open for normal business operations. * Students are encouraged to leave campus for spring break and the two-week period after. * Students who leave campus should take with them any devices, textbooks and other materials they will need to continue their coursework remotely. * They should take any personal effects, valuables or other items they might need for an extended period of time away from campus. * Students who choose to remain in our residence halls on campus during spring break and during the period of online instruction will not be allowed to travel away from Tallahassee and come back to their residence hall. * Campus services will remain open and operational with limited or reduced services for students during the two-week online instruction period, such as dining, library services and counseling services. * Official guidelines around special events will be forthcoming. * The university will continue to implement CDC-recommended social distancing on campus. * Units that have invited an external speaker or external groups to campus between March 30 and April 6 should postpone, cancel or virtually conduct those events. The university will provide guidance on athletic events and competitions based on coordination with the Atlantic Coast Conference and the NCAA. * Despite changes to the delivery of academic content and our residential status, Florida State University remains open and fully operational. * University Administrators and Emergency Management officials will continue to take measures to protect the health and safety of our community. * Faculty and Staff will play an important role in helping transition coursework to online content and continuing the operations of the institution. As such, faculty and staff who are well are expected to report to work as normal in their regularly assigned work locations. * We have asked all employees who have duties that can be performed elsewhere to begin preparing for remote work. Those preparations should continue; however, we do not anticipate any immediate change to schedules and work locations at this time. * OPS employees should continue to work as long as there is meaningful work available. Absent the availability of work, OPS employees may extend their work hours after April 6 to mitigate any hours missed during this period. * During the next few weeks, the Office of Human Resources, in consultation with University Administration and Emergency Management, will continue to monitor the impacts of COVID-19 and communicate any future adjustments impacting the workplace. Guidance for faculty and staff regarding working from home and other policies will be provided soon. Florida State will continue to closely monitor and evaluate information and guidance provided by state and federal agencies. As you know, this is a rapidly changing, dynamic situation, and we appreciate your patience as we continue to make decisions that keep our university community safe. The intent has been to rely on the University?s communications as the most accurate and most up-to-date resources. To that continued end, please be diligent in reading messages coming from various offices of the institution. They provide important information for us collectively and information for different groups within our population. Courses of action have been changing, becoming more refined, as each day passes. A University workgroup was established to consider how best to support unique programs like those offered in the CFA, to address issues such as access to studio art spaces, rehearsals, dance technique classes, etc. A preliminary set of parameters was established and specifics for individual areas are being further discussed and decided by chairs and directors in consultation with my office and upper administration. As you know, classes will go online as of March 23. For two-weeks following Spring Break, we are developing alternative modes of content delivery to substitute where possible for in-person classes. The designated two-week period after Spring Break for shifting to online course delivery is to allow time for those who travel for the break to self-isolate or self-quarantine, to reduce risk of spreading the virus upon returning to campus. During this period, the University is not closed. Every effort is being made to continue normal operations of the institution. Any exceptions for specialized content will be communicated by individual departments. Effective immediately, the Carnaghi Arts Building (CAB) will be closed to students except those who are graduating and preparing for BFA and Thesis exhibitions and those students who work in Theatre Tech as part of their Graduate Assistantships. In anticipation of questions, I want to share with you some notes that I have culled from meetings and copied from other messages from key offices around campus. These notes are as follows: Up-to-date Information. A new official website was created (fsu.edu/coronavirus) which aggregates all the university?s coronavirus information, messaging, and instructions. This page is frequently updated and includes the latest official news on FSU?s response to the coronavirus and a list of Frequently Asked Questions (FAQ). Travel Restrictions. Restrictions to travel have been made for faculty, students and administrators traveling on University business and restrictions on guests coming into the University. The intention is to distance and isolate, to help prevent the spread the virus. Refer to the website and FAQs link provided earlier for specifics. Those who travel to areas of concern, international or domestic, are expected to self-isolate for two-weeks upon return or to self-quarantine if they?ve been in close contact with someone who has been diagnosed or believed to have contracted coronavirus. Faculty/Staff. University Human Resources is keeping a log of those faculty and staff who have traveled or will travel this week to an affected area (again internationally or domestically) and plan on self-isolating. HR is also keeping track of those faculty and staff who need to telecommute because they or a family member they live with is at high-risk. Faculty are directed to contact Rebecca Peterson and staff/OPS should reach out to Tracey. Thesis and dissertations. The Graduate School has reviewed the defense policy for Master?s Thesis and Doctoral Dissertation/Treatise students and is offering guidelines for conducting ?virtual defenses? in the coming weeks. Undergraduate Academics. Guidelines have been outlined to provide consistent service to our students as well as clear guidance to those involved in academic advising and advising-related interactions with students. Efforts are being made by advisors to help ensure that students register in a timely manner, including the following: * All advising offices will remain open during the two-weeks following Spring Break. The current plan is that residence halls will remain open during this period as well, and students who remain on campus (or in the Tallahassee area) during Spring Break will have the opportunity to remain on campus during the period of online instruction. * Advising offices are preparing to provide advising remotely through Zoom or other electronic means. * Students who remain on campus (or in the Tallahassee area), are expected to have the option of face-to-face advising during the online instruction period. Clearly, we are making our efforts to contend with the situation as best we can. Day-by-day new issues arise. We ask as your continued patience and flexibility as we move forward, with student health and well-being in the forefronts of our minds and actions taken. And remember, washing your hands with soap and water, overall good hygiene and practicing social distance are highly effective in helping to prevent the spread of the virus.
