The deadline for submitting myFSU Service Center cases is 10:30 a.m. (EST) on Monday, February 5, 2024. Cases submitted after 10:30 a.m. on Monday will not be worked before the payroll calculation is completed, and the employee may be paid incorrectly. Do not wait until Monday to begin checking Cost Center data. You may reference the job aid for the myFSU BI Cost Center Report. Florida State University is participating in the Tallahassee Future Leaders Academy (TFLA) this summer. The TFLA program is sponsored by the City of Tallahassee, which partners with area organizations to provide summer jobs for local youth (ages 15-19). The program provides community youth with work experience, professional development, and mentorship. We encourage you to watch the employer and youth testimonials to learn more about their experiences. Details The program runs from June 10-July 26 and entails: * Seven weeks of employment with an FSU department at a minimum of 20 hours per week. Wages are centrally funded at no cost to the participating department. * Skills development through on-the-job experience and program seminars focused on personal growth, professional development, and financial literacy. * Mentorship from a caring department manager focusing on improving interpersonal skills and enhancing self-confidence and self-esteem. The University funds TFLA student salaries at no cost to the participating department! Get Involved We are looking for departments to host a TFLA student. If your department is interested, please email a brief statement of interest to the contact listed below outlining: * Your department's interest in hosting a TFLA student. * The nature of the job you will provide. Note: you must have availability to host from June 10 to July 26 for a minimum of 20 hours per week. * The anticipated learning outcomes related to leadership and professional development from your position. * Contact information of someone who will serve as the student's supervisor. Important Reminders for Supervisors TFLA is a mentorship employment program. TFLA students are not eligible for remote work. By hosting a student, you are committing to being physically present to provide supervision and mentorship. * Student availability may not always line up with a hybrid work schedule. This may mean adjusting your remote schedule during the program. Please do not request a student if you cannot supervise them on your remote days. * If you have scheduled leave, you may have one backup supervisor designated. * You will be responsible for working with the backup designee to ensure the student is supervised. * Both supervisors are required to have a recent Level 2 background check, which is funded by Central HR. * If you cannot work out a schedule between you and the backup supervisor, this program may not be the right fit, as the goal is to foster a mentorship relationship with TFLA students. Statements of interest are due on Friday, March 1. You will be contacted with additional details if your department is selected for participation. This is a fantastic opportunity to invest in our local community and cultivate future leaders. We hope you will get involved! The university's New Employee Orientation (NEO) program is available online for all newly hired employees. NEO provides information concerning employee benefits, rules and regulations affecting employment, use of OMNI Employee Self Service functions, cybersecurity awareness, and university operating procedures. All Florida State University employees are required by policy to complete NEO. What's New? Employees will enroll in the university's NEO course through OMNI HR Self Service. After enrollment, they will be directed to Canvas to access and complete the NEO requirements. NEO for Faculty and Staff: Course Number = CONEO1 NEO for OPS Employees: Course Number = CONEO2 The course enrollment links are available on the HR New Employees webpage. Upon completion of NEO, the employee's OMNI training enrollment record will be updated through a nightly generated process. This will provide more timely updates of completion credit to the employee's training record. Employees can view their status by accessing their OMNI Training Summary through OMNI Employee Self Service. Department Representatives can monitor employee NEO completions using the following HR OMNI queries: FSU_HR_TRN_COMP_CRS_NEO_OPSFLG - This query returns employees classified as OPS who have and have not completed NEO. FSU_HR_TRN_COMP_CRS_NEO_SALFLG - This query returns employees classified as faculty and staff who have and have not completed NEO. A Training Guide is available for query assistance. Questions? The noon deadline for approvals has passed, and there are still unapproved time/leave entries that require approval or correction before payroll processing is completed this pay period. Please check the list below for pending approvals for your department. Remember that the unapproved entries below and any corrections you make to these entries today will not appear on today's Cost Center Report. The "Pending Approvals" number reflects the number of entries needing approval, not separate employees. The data is intentionally conveyed in this manner so you know how many time entry approvals require your attention. For example, if an employee reported 3 days of vacation, that employee's unapproved time will be counted 3 times so that you know how many entries you should approve. This is especially helpful if the leave was taken over multiple workweeks. As you are aware, if each entry for an individual employee is not approved or corrected, the employee's pay will be affected. Be sure to continue checking today and again throughout Monday morning for pending approvals due to processed corrections and data changes. If you have any questions, please contact an Attendance & Leave representative. Thank you for your timely attention to this matter. Large volumes of Graduate Assistant and Faculty Reappointments must be completed each semester. The Mass Appointments process allows you to reappoint more than one employee at a time. Prior to the opening of the Graduate Assistant Mass Appointment process, use the FSU_NON_CITIZEN_BY_DEPT query to view a list of all active non-citizen appointments and review work authorization expiration dates. If any Non-Resident Alien employees have an outdated work authorization expiration date, please reverify their I-9 and provide a copy of the updated work authorization documents to hr-edmdocs at fsu.edu. If an employee has an expired work authorization when GA Mass opens, the department will need to complete an ePAF to reappoint the employee. Summer 2024 Graduate Assistant Mass Appointments Summer 2024 appointments must have a minimum appointment period of at least five (5) business days before the first day of classes through the last day of finals, as outlined in the academic calendar. Appointments for teaching assignments that require grading duties shall continue through the grade submission deadline. GA Mass Appointments are entered by Department Representatives in OMNI HR and then made available in batches to Department Managers for approval. As a reminder, effective September 29, 2023, a minimum of $23.08 per hour is required. Please ensure your period amount is calculated at this hourly rate. Timeline for the 2024 Summer Graduate Mass Appointments Process Wednesday, March 20 - Thursday, March 28 Graduate Mass Appointments open to Department Representatives (Originator) for entry. Friday, March 29 - Thursday, April 4 Open for Manager approval for all Graduate changes. Friday, April 5 - Wednesday, April 10 Open for Department Representatives (Originator) to review and update any changes per Manager. Thursday, April 11 - Monday, April 15 Open for Manager to approve final changes. Tuesday, April 16 Load file in OMNI HR, close of business. Please reference the Graduate Assistant Mass Appointment Schedule and job aid for Graduate Assistant Mass Appointments. Summer 2024 Faculty Mass Appointments With the exceptions noted below, the OMNI HR online Mass Appointments process will produce summer salaried appointments for 9-month and 10-month faculty needing E&G, Auxiliary, and Contract and Grant appointments. Most salaried summer appointments, including existing appointments, should be entered into the OMNI HR "Enter Mass Appointments" screen by staff in each Dean's, Director's, or Vice President's office. Faculty on Leave Faculty members who are currently on a paid or unpaid leave of absence (including sabbaticals) will not be included in the Mass Appointments screens. Please submit a pPAF to return these faculty members from leave and appoint them for the summer. Visa Tab Note the "Visa" tab on the Faculty Mass Appointment screen. If a faculty member's work authorization information is not current in OMNI HR, you will not be able to appoint the faculty via Mass Appointment. Instead, send the updated work authorization documents and an ePAF to Human Resources to complete the summer appointment. Attach the work authorization to the ePAF. Timeline for the 2024 Summer Faculty Appointments Process Wednesday, March 27 - Monday, April 22 Faculty Mass Appointments open to Department Representatives (Originator) for entry. Tuesday, April 23 Load file in OMNI HR, close of business. Please reference the Faculty Mass Appointment Schedule and job aid for Faculty Mass Appointments. Questions? Department Representatives and Hiring Managers: 2024 Summer Camp Background Checks The 2024 Summer Camp season is approaching, and preparations must be made soon. Summer Camp background checks are conducted and adjudicated by The Florida Department of Children and Families (DCF) through the Care Provider Background Screening Clearinghouse as mandated by Florida Statute 409.175. All new and returning summer camp personnel (owners, operators, administrative staff, employees, and volunteers) who provide care to minors must be screened and determined eligible by DCF via a Level 2 Fingerprint-based Background Check prior to working, training, or volunteering for the camp. All FSU-Sponsored Summer Camps and Camps held on FSU campuses must comply with DCF Background Screening requirements. If made aware of Summer Camps utilizing FSU facilities, or if external campers may interact with FSU personnel, please contact Andrew Kapec in HR for best practices and next steps. Summer Camps held virtually still require a background check due to the live virtual interaction. Please coordinate with the HR Background Check Team to submit the Summer Camp Roster appropriately. The Summer Camp Page on the Background Check Website provides a detailed guide on initiating Summer Camp Background Checks, including forms, exemptions, and timelines to process efficiently. All Summer Camp Candidate DCF Clearinghouse Forms have been updated. Please replace all previously saved versions with the 2024 versions. Required Summer Camp documents must be submitted to The Office of Human Resources Background Check Team via FSU Nifty to hr-ers at fsu.edu no later than 30 days before the anticipated start dates to ensure the timely processing of DCF Summer Camp Background Checks. If hiring camp counselors or staff as OPS employees, please visit the HR Employee Data Management Website and review the OPS Employment Checklist to ensure your employees are hired and paid in a timely manner. Other Summer Camp Resources * Protection of Vulnerable Persons Act: All camp volunteers and staffers need to be trained in protecting minors and the reporting requirements for suspected child abuse. Please review the information and training videos on the HR Protection of Vulnerable Persons Act webpage. * Housing: To plan camp housing, please visit the Housing Conference Services webpage. * Environmental Health & Safety / Insurance: https://www.safety.fsu.edu/ * FSU Parking Services: If parking plans are needed for your camp, please contact FSU TAPS or visit the TAPS website for more information.
