An important message from FSU Payroll Services: Payroll Services offers 9-month and 10-month faculty the option to be paid over 12 months. The Twelve-Month Payment Option allows eligible employees to designate an amount to be deducted from their 19 paychecks during the fall and spring semesters. The funds withheld will be evenly distributed over five pay periods during the summer, beginning May 31, 2024, and ending July 26, 2024. For faculty members interested in participating in this program, the open enrollment period for academic year 2023-2024 is now open and will close on August 11, 2023. All full-time USPS employees are eligible for one 8-hour Personal Holiday each fiscal year (July 1 - June 30). Part-time USPS employees are eligible for a prorated Personal Holiday based on their full-time equivalent (FTE). USPS employees will lose their 2022-2023 Personal Holiday if it is not taken by June 30, 2023. Employees unable to use their Personal Holiday on or before June 30, 2023, can replace one previous vacation day with their Personal Holiday by adjusting their timesheet entry from VACHT to PHOLT. This action will reflect the use of the Personal Holiday and return the vacation leave hours to their balance. The change from VACHT to PHOLT must be entered and approved by June 30, 2023. The 2023-2024 Personal Holiday will be available for use by eligible USPS employees on July 1, 2023. A new, streamlined process will soon make it easier to review and certify employee security access roles. Starting July 1, 2023, supervisors of employees with requested security access roles will receive quarterly notifications to review and adjust employee roles as necessary. The review will now occur in the myFSU HR portal and will increase departmental efficiencies and university security. Why the change? The new employee role certification process is much faster and easier, saving time by eliminating unnecessary steps and paperwork. Also, automated email and push notifications will be sent as reminders to review employee role certifications and stay on top of regular reviews. What do I do? Watch for quarterly notifications to review role certifications for your employees. The notifications will be sent via email and push notifications within myFSU HR. The noon deadline for approvals has passed, and there are still unapproved time/leave entries that require approval or correction before payroll processing is completed this pay period. Remember that the unapproved entries below and any corrections you make to these entries today will not appear on today's Cost Center Report. The "Pending Approvals" number reflects the number of entries needing approval, not separate employees. The data is intentionally conveyed in this manner so you know how many time entry approvals require your attention. For example, if an employee reported 3 days of vacation, that employee's unapproved time will be counted 3 times so that you know how many entries you should approve. This is especially helpful if the leave was taken over multiple workweeks. Department Representatives and Supervisors: Please read the following message in its entirety. The Memorial Day holiday occurs on Monday, May 29, 2023. The payroll processing schedule for Pay Period 'Y' is normal. To be paid for the holiday, USPS, A&P, Executive Service (AEX), and Faculty employees should be in pay status (either working or on approved leave) at least a portion of the scheduled workday before the holiday. * Full-time employees receive 8 hours of leave for holidays. Part-time employees receive a proportionate number of leave hours for holidays based on their FTE. * Example - While a 1.0 FTE employee gets 8 hours of paid holiday leave for each day, a 0.75 FTE employee would get 6 hours of paid holiday leave. * If you have employees on alternate schedules (full-time or part-time), they should be advised in advance to work the appropriate hours for the workweek of May 26, 2023 - June 1, 2023, based on the amount of holiday leave they receive for the holiday. Large volumes of Graduate Assistant and Faculty Reappointments must be completed each semester. The Mass Appointments process aids by allowing you to reappoint more than one employee at a time. Fall 2023 Graduate Assistant Mass Appointments Fall 2023 appointments should have a minimum appointment period of at least five (5) business days before the first day of classes through the last day of finals, as outlined in the academic calendar. Appointments for teaching assignments that require grading duties must continue through the grade submission deadline. Graduate assistants who are appointed in both the Fall 2023 and Spring 2023 semesters should have a continuous appointment between semesters without a break in funding. Graduate Assistants utilizing a Summer LOA should be reappointed via the Mass Appointments process.
