They met yesterday morning to discuss the submissions based on the scoring. A final list of decisions is below and in this spreadsheet . A few things to note, the institution names were not included during the blind peer-review process of the submissions, those were added in after selections were made to ensure there was a variety of institution types and that Florida institutions were well represented, as there were more out of state submissions than in the past. Please let me know by Friday August 7th if you have any questions or concerns with the selected presentations. The committee organized the presentations into three tracks, with the idea to have three concurrent presentation tracks with 3 live presentations and 1 pre-recorded presentation for each track, unless we want to remove the break out discussions to have four live presentation time slots per track? Listed below is the tentative schedule, although it is open to change. We would like to open up registration to the conference when presenters are notified of acceptance, ideally early next week. We also need to decide if we want to keep a registration limit of 100 attendees as in the past or expand it (200 or 300 cap)? If we move up the attendee limit to 200-300, I am not sure the breakout discussions will work as well with that many attendees and we may want to just have four live presentation time slots instead. At this point, I am still planning to use Zoom for the conference but still looking into the different options. Also, it came up in the program committee meeting that it would be helpful to have a separate committee for conference logistics, as even with a virtual conference there are quite a few logistics to consider. Please let me know if you are interested in serving (and/or chairing) this committee, particularly if you have experience with organizing virtual conferences. Since there will be concurrent breakout sessions and an interactive poster session, there will be more logistics to consider. If you have any colleagues you think may be interested in serving on this committee, please let me know. It definitely has some advantages though over Zoom. And unless we want attendees to register twice, we would have to use their payment system on Hopin which would increase the cost for us. It may be possible for us to register attendees ourselves in Hopin however, so after they register and pay on the FACRL website we add them to the event in Hopin but I will need to review the information on that some more. I thought it was mentioned in the demo earlier. Rachel, the Pro Account is actually $18,000 a year! So not an option! Only issue with the sign language interpreter is that we would need three of them, due to the concurrent sessions. Zoom currently doesn't have closed captioning either, although I've heard it may be an option soon. Also, I found out during the demo that if we wanted to have a test run with the presenters in advance, that has to be set up as an event and use tickets, so that would also increase the cost. Using Zoom Meeting for the breakout sessions would definitely be more cost effective, as Nancy (Program Chair,), Heather and I all have accounts to use Eckerd College's Zoom Meeting license, which can have up to 300 participants and each of us could run one for the concurrent breakout sessions...we could have three Zoom links for the different tracks (A, B and C). The Tampa Bay Library Consortium has done this for two online conferences recently with concurrent breakout sessions and it worked very well. It would also be easy to set up a demo time with the presenters and Zoom would be a much more familiar platform for both the presenters and attendees. This would also allow us to use our current registration system in Wild Apricot for the conference. We did discuss that briefly as a board a few months ago when we decided on the virtual conference registrations and we agreed to still provide scholarship winners with a cash amount and free registration as in past years. I don't believe we decided if we want to keep it at $300 or increase it, perhaps to either $400 or $500. We usually have two scholarship winners. What are everyone's thoughts? We do have the funds available to increase the amount. Also, I found out during the demo that if we wanted to have a test run with the presenters in advance, that has to be set up as an event and use tickets, so that would also increase the cost. Using Zoom Meeting for the breakout sessions would definitely be more cost effective, as Nancy (Program Chair,), Heather and I all have accounts to use Eckerd College's Zoom Meeting license, which can have up to 300 participants and each of us could run one for the concurrent breakout sessions...we could have three Zoom links for the different tracks (A, B and C). The Tampa Bay Library Consortium has done this for two online conferences recently with concurrent breakout sessions and it worked very well. It would also be easy to set up a demo time with the presenters and Zoom would be a much more familiar platform for both the presenters and attendees. This would also allow us to use our current registration system in Wild Apricot for the conference.
